Send books from Guangzhou: domestic delivery or international post

The short answer

For books going to a friend at a mainland China address, start with domestic post. Ask China Post on 11185 for a printed-matter or parcel option if low cost matters; if a counter visit will not fit, arrange domestic EMS through 11183 or SF Standard Express pickup from your hotel. Use international or Hong Kong/Macao/Taiwan services only when the recipient address calls for them. A Chinese friend does not by itself establish where the parcel is going.

Your two deadlines are different: the books must leave your hands before your train, but they do not need to reach your friend that day. Choose the lowest accepted price among services that can collect in time and meet any delivery deadline you actually have. A booking request is not a completed shipment.

Where can I post books during one night near Guangzhou South?

The original traveller expected an early arrival on Sunday 15 February 2026, one night near Guangzhou South, then travel to Guizhou. That date has passed. We have not verified an airport counter or a counter along the route to Guangzhou South that accepted these books and was open in that historical window. The steps below are a hotel-pickup alternative for a similar future stop, not a claim that an airport post office will be open.

Where your friend will receive the books: Mainland China; price matters more than delivery speed

Named service and first action: China Post: call 11185 and ask for 国内印刷品 (domestic printed matter) and 普通包裹 (ordinary parcel) quotes for your books. Ask for the accepting counter name/address and its next collection time.

What changes the choice: Printed-matter classification, size/weight, a workable counter visit and the full price must be confirmed. Do not assume a slow postal product includes hotel pickup.

Where your friend will receive the books: Mainland China; you need pickup from the hotel

Named service and first action: Domestic EMS: call 11183. Alternative: SF Standard Express (顺丰标快), using SF’s official 寄快递 / Ship page, WeChat mini-program or 95338. Give the hotel address and request 上门取件 (pickup).

What changes the choice: Choose the service that actually confirms pickup before your latest handover time and accepts your books/passport. SF Standard is not automatically the cheapest; compare its accepted total with the postal option.

Where your friend will receive the books: Hong Kong, Macao, Taiwan or another country

Named service and first action: China Post international or Hong Kong/Macao/Taiwan parcel; ask 11183 for accepted slow parcel products and an accepting pickup/counter. Compare EMS only if its price, pickup or delivery timing suits you.

What changes the choice: The actual country/region, recipient postcode, books, declared value and packed measurements determine what can be sent and quoted. International retail orders belong on the EMS official website; the old contract portal is not the individual booking route.

Where your friend will receive the books: Recipient address still unknown

Named service and first action: Get your friend’s full delivery address and phone number. Meanwhile prepare the books, hotel address, passport and latest handover time.

What changes the choice: You can prepare and check local collection options now, but cannot select domestic/cross-border service or claim a final quote until the delivery address is known.

Book pickup, then complete the handover

1. Before arrival, or as soon as you reach the hotel, obtain its Chinese street address and confirm where a courier can meet you. Use your own name and reachable number; use reception’s contact only with permission. Set a latest handover time that leaves your own hotel-to-station and train check-in allowance.
2. For mainland delivery, request domestic EMS pickup via 11183 or choose 寄快递 on SF’s official Ship page and request SF Standard. Enter sender/pickup and recipient details, contents as books, piece count, packed weight and dimensions, and the requested pickup slot. For cross-border delivery, ask 11183 to route the exact personal book parcel to an accepting service; the EMS individual-order notice points to the EMS website.
3. Before relying on a slot, get an accepted booking/reference and a collector or service confirmation that the hotel address, books, passport verification, packaging/inspection and latest handover time can be handled. Ask for the full payable price or its weighing basis. An automatically displayed slot or submitted request does not prove that collection will happen.
4. Meet the collector with your passport and the inspectable books. Let the carrier inspect, weigh and measure them; approve the final service and charge, then complete payment and handover. Keep the receipt and waybill, and check for an acceptance/collection record. This is the point at which the books are actually sent.
5. If pickup is not confirmed in time, ask 11185/11183 for one named accepting counter, its exact address, current opening and last acceptance time, and whether it accepts your selected domestic or cross-border service. Go only if that confirmed visit fits your train. Otherwise retain the books and send them from a later stop or give them to the friend in person.

If an app requires a Chinese ID or a number you cannot verify, use the carrier’s phone booking or an accepting counter for help with your foreign passport. We have not tested foreign-passport onboarding or SMS delivery in these apps. Do not borrow someone’s identity to get past the form.

Leaving books at reception is a separate arrangement. Agree on a named person, storage period, collection, payment and what happens if collection fails. For delegated sending, the carrier must check both your and the representative’s identity information; hotel consent alone does not complete that requirement. Arrange verification directly with the carrier before you leave. If this cannot be arranged, keep the books.

How do I find the lowest postage and prepare the books?

For mainland delivery, compare the China Post printed-matter/ordinary-parcel quote with domestic EMS or SF Standard only if those services can complete handover in your available window. Include packaging, optional insurance/registration, any service charges and the cost of reaching a counter. The current worked printed-matter example below gives a usable postal starting price. The cheapest total for your own shipment still depends on the delivery address, actual packed measurements and accepted collection arrangement.

Worked domestic example: Guangzhou to Guiyang, 3kg including packaging

For ordinary books sent from Guangzhou to a friend in Guiyang, ask China Post for domestic printed matter (国内印刷品). As an illustration, use a close-fitting 30 × 20 × 10cm box that weighs exactly 3,000g with the books and all packaging. These are example inputs, not the original traveller’s undisclosed delivery address or measured parcel.

China Post’s current published nonlocal printed-matter tariff is ¥1.20 for the first 100g, then ¥0.40 for each further 100g, rounding any part up. The postage is therefore ¥1.20 + 29 × ¥0.40 = ¥12.80. Registration adds ¥3, making ¥15.80. The example assumes your own packaging is accepted and no insurance, return receipt, appointment service or other paid extra is selected. This is a calculation from the published tariff, not a booked pickup or proof of the cheapest offer from every carrier. China Post domestic tariff, checked 13 September 2026.

Bring the open or reopenable books/box, your original passport, and your friend’s full Chinese address, postcode, name and telephone number to an accepting China Post counter. Say: “寄贵州省贵阳市，普通书籍，想按国内印刷品寄。含包装称重后，请分别确认平常和挂号的总邮资，以及有无另收费用。” Ask staff to inspect the contents and confirm printed-matter classification before sealing and paying. If they quote a parcel or express product instead, check its separate total before choosing it; this calculation does not apply to that other service.

Weigh the finished package: if it is 3,050g rather than 3,000g, the extra partial 100g raises the calculated postage to ¥13.20, or ¥16.20 with registration. The example box size is a packing assumption, not a verified product size allowance; the particular books and packaging still need to be accepted. The tariff establishes no collection slot, branch opening hours or delivery deadline.

For cross-border delivery, open the China Post quote tool in the sources. Select the actual hotel’s origin province/city/district (Guangdong / Guangzhou / the hotel’s district), the destination country or region, packed grams and a goods product. Compare accepted surface parcel (水包物品), air parcel (航包物品), SAL (SAL物品) and EMS goods (EMS物品) results where offered. Save each product name, charge, delivery estimate and collection arrangement. The tool is a reference quote; the accepting carrier decides availability and final charge.

China Post’s notice ended international registered goods mail on 1 January 2026. An old “registered small packet” label in a page or quote menu is not proof that books can still use it. The notice names international/Hong Kong/Macao/Taiwan parcels and EMS as alternatives. This is an international change, not a blanket ban on domestic registered printed matter.

Worked example: billable weight, not a postage quote

Illustration only: suppose a packed box measures 50 × 30 × 20 cm and weighs 3 kg. On the reviewed international EMS product rule, the 50 cm side is over 40 cm, so volumetric weight is 50 × 30 × 20 ÷ 6,000 = 5 kg. Because 5 kg exceeds the actual 3 kg, 5 kg is the charging-weight basis, subject to that destination’s limits and charging increments. The destination and available product rate are still needed to turn this into yuan. These are example inputs, not the original traveller’s parcel.

There is no single box size or weight band that covers every domestic and international product. Weigh the books with all packaging and measure the outside length, width and height. Ask the accepting service for its maximum per piece, charging increment and any volumetric rule. Compare a one-box price with separately weighed two-box prices before splitting: two first-weight charges and extra packaging can erase a saving. An airline baggage allowance is not a postal weight limit.

What to provide: Your real name, original valid passport, reachable contact number, hotel’s exact pickup address and an agreed return address/contact that remains usable after you leave. Do not assume the hotel accepts returned parcels.

Item: Mainland recipient

What to provide: Friend’s full name, Chinese province/city/district/street/building/room address, postcode and reachable phone number. Confirm that the friend can receive delivery or collect where the chosen product requires it.

Item: Cross-border recipient

What to provide: Full country/region, address, postcode and phone with country code. EMS’s published terms ask for detailed address text in French, English or a language understood at destination; a PO box alone is insufficient. Ask which destination-specific customs/tax ID or other data are required.

Item: Books and parcel

What to provide: Book titles, language, number of copies, actual contents and value; packed weight in grams and outside dimensions in centimetres. Describe the contents truthfully as books. For a cross-border parcel, ask the carrier which customs form/invoice is needed for this destination; a gift does not remove declaration requirements.

Item: Packaging

What to provide: Keep the books easy to inspect. As a practical preparation, use a strong close-fitting box, protect corners and keep the contents dry; leave final sealing until inspection is complete, or be ready to reopen it. Ask whether the carrier supplies a box and its price.

Item: Time and price

What to provide: Latest acceptable handover time, any actual delivery deadline, maximum budget and whether you need tracking/compensation. Confirm the full charge after weighing and inspection.

Foreign passports are expressly accepted identity documents under the national real-name sending rules. Non-letter contents are inspected at acceptance, and refusal to permit inspection can mean refusal to carry. If a title, quantity, destination or packing method is refused, ask for the specific reason and keep the books while choosing a lawful alternative. Do not describe them as correspondence or try to conceal the contents.
